Executive Mandate Summary

A Rs 7.5 crore auto components distributor faced a potential delay in working-capital facility renewal after its bank identified inconsistencies between financial statement revenue, GSTR-1 filings and GSTR-3B filings. Financial statements reported Rs 7.5 crore of revenue, while aggregate GSTR-1 filings showed Rs 7.72 crore and GSTR-3B filings showed Rs 7.38 crore. The resulting Rs 22 lakh reconciliation gap had accumulated over 18 months. Northrop conducted an invoice-level reconciliation across Tally, GSTR-1 and GSTR-3B, identified the causes of the mismatches, remediated the correctable differences and prepared a GST health certificate package for the lender. The bank accepted the reconciliation package and the facility was renewed within the 30-day window.

Key Transaction & Governance Challenges

  • •
Financial statements, GSTR-1 and GSTR-3B reported different revenue figures.
  • •
Mismatches had accumulated over 18 months rather than being identified and corrected monthly.
  • •
The differences arose from credit-note timing, incorrect B2B/B2C classification, estimated GSTR-3B filings and rounding/timing differences.
  • •
The borrower had only 30 days to reconcile the differences before the facility renewal could potentially be deferred.

Northrop Execution Architecture & Methodology

1
Extract 18 months of Tally sales-register data, GSTR-1 returns and GSTR-3B returns.
2
Match every Tally invoice against its corresponding GSTR-1 entry and inclusion in GSTR-3B.
3
Classify each mismatch according to its underlying cause, including timing, classification, estimated filings and rounding.
4
File permissible amendments and correct GSTR-3B figures where required.

Section 1 — The Central Issue

The bank required a clean GST reconciliation as part of the working-capital facility renewal. The financial statements showed Rs 7.5 crore of revenue, compared with Rs 7.72 crore in GSTR-1 and Rs 7.38 crore in GSTR-3B.

The resulting Rs 22 lakh difference needed to be explained within the bank's 30-day renewal window.

Section 2 — Why the Mismatch Developed

The accountant had filed GST returns on time, but the returns were inconsistent with each other and with the books. Causes included credit notes reflected in later periods, incorrect B2B/B2C classifications, estimated GSTR-3B figures and accumulated rounding differences.

Each individual difference was explainable. Collectively, they produced a Rs 22 lakh gap.

Section 3 — 18-Month Reconciliation

Northrop extracted data from Tally, GSTR-1 and GSTR-3B and reconciled the records at invoice level.

The exercise identified Rs 8.4 lakh of credit-note timing differences, Rs 5.1 lakh of B2B/B2C classification errors, Rs 4.8 lakh of estimated GSTR-3B figures and Rs 3.7 lakh of rounding and timing differences.

Section 4 — Remediation

The identified mismatch categories were remediated during Week 2. Amendments were filed for credit-note timing differences and B2B/B2C classifications, while GSTR-3B figures were corrected to actuals for the two estimated months.

A detailed 18-month reconciliation statement documented the books figure, GSTR-1 figure, GSTR-3B figure, cause and remediation for each difference.

Verifiable Institutional Outcomes & Value Realized

  • Rs 22 Lakh GST Mismatch Reconciled
  • 18 Months of Transactions Reconciled
